1.Who we are

Portfolio Builders UK is a trading name of Fletcher Consulting Ltd, registered in England and Wales under company number 14037506, with its registered office at Trinant Hall, Trinant Hall Lane, Llanhilleth, Abertillery, NP13 2JR.

In this policy, "we", "us" and "our" means Portfolio Builders UK. We're the "data controller" for the information covered here — the organisation responsible for deciding how it's used.

Data protection: we take our data protection obligations seriously and handle your information in line with UK GDPR and the Data Protection Act 2018.

We haven't appointed a formal Data Protection Officer. For any question about this policy or your data, contact us using the details in Section 13.

2.What information we collect

  • Contact details — your name, email address, and phone or WhatsApp number.
  • What you tell us about your plans — how much you have to invest, your timeline, your income or employment situation, where you want to buy, and what's prompted you to look now.
  • Answers from our free tools — if you use one of our online tools (for example a deal analyser, a growth calculator, or a quiz), we collect the answers you give and the results you get.
  • Application and booking details — if you apply for a call or a program, we collect your application answers and your booking information.
  • Call and message content — notes from calls with our team, and anything you send us by WhatsApp, email or text.
  • Billing information — we do not currently take payments through this website; our tools and investor list are free to use.
  • If you become a client — identity and financial information we need to deliver the service and meet our legal obligations, for example proof of funds or identity checks where relevant.
  • Technical information — standard website data such as your IP address, browser type, device, and the pages you visit, collected automatically when you're on our site.

We don't collect any special category data (things like health, religion or ethnicity), and we'd ask that you don't send us any unless we've specifically asked for it.

3.How we use your information

  • To answer your questions and get back to you.
  • To run our free tools and show you your results.
  • To assess whether our service is right for you.
  • To arrange and manage calls and bookings.
  • To deliver the service if you become a client.
  • To send you emails, WhatsApp messages or texts about our services, relevant property content, and, if you've agreed to it, marketing about other services.
  • To keep the records the law requires for accounting and tax.
  • To improve our tools, funnels and service based on how people actually use them.
  • With your permission only: to build anonymised case studies from real results. We never publish a case study you haven't agreed to, and we never use your full name or address without asking first.

4.Our lawful basis for using your information

UK data protection law says we have to have a valid reason ("lawful basis") for everything we do with your data. Here's ours:

  • Consent — for marketing emails or messages, and for non-essential cookies. You can withdraw this at any time.
  • Contract — to deliver the service once you become a client, and to take the steps that get you there, like assessing your application.
  • Legitimate interests — to respond to enquiries, run our free tools, qualify leads, and improve our service, balanced against your right to privacy.
  • Legal obligation — to keep the records the law requires, for example tax, accounting, and, where relevant, anti-money-laundering checks.

5.Who we share your information with

We don't sell your data. We share it only where it's needed to run the business:

  • GoHighLevel — our CRM and marketing platform. It stores your contact details and runs our website forms, call bookings, emails and automated messages.
  • YouTube (Google) — hosts our video content, usually as unlisted videos embedded on our pages.
  • WhatsApp Business (Meta) — if we message you on WhatsApp.
  • Advertising platforms such as Meta (Facebook/Instagram) and Google — only when we're running paid advertising, and only to measure whether an ad led to an enquiry. Not to sell to anyone.
  • Professional advisers — for example our solicitor or accountant, where a specific matter needs their involvement.
  • Flying Keys Lettings Ltd — a separate business that some clients are referred to for lettings management. If you're referred, Flying Keys Lettings Ltd becomes the data controller for that part of the relationship, not us.
  • Regulators and authorities — where we're legally required to share information, for example with HMRC or the ICO.

Typeform and Calendly may be added as form/booking providers in future — we'll update this list before we start using them. Everyone on this list only ever sees the data they need to do their specific job. None of them are allowed to use it for their own purposes.

6.International transfers

Some of the providers we use (for example GoHighLevel, Google/YouTube, and Meta for WhatsApp and advertising) may process your data on servers outside the UK, including the United States.

Where that happens, we rely on appropriate legal safeguards to keep your data protected to UK standards — such as the UK International Data Transfer Agreement (IDTA) or UK Addendum, the EU Standard Contractual Clauses, or an adequacy decision covering that country. This applies to our use of GoHighLevel, Google/YouTube, and Meta (WhatsApp and advertising).

7.How long we keep your information

We keep your data for as long as it's needed for the purposes set out above, and for as long as you remain a lead or a client. We delete it when it's no longer needed, or when you ask us to, whichever comes first.

The one exception is financial records, which UK accounting and tax law requires us to keep for at least 6 years after our engagement ends.

8.Cookies and tracking

Our website uses cookies and similar technology (like tracking pixels) to make forms work, remember your preferences, and understand how our pages are used. Some are set by us directly; others are set by the tools we use to run the site, like GoHighLevel and, when we're running paid ads, Meta's tracking pixel.

A cookie-consent banner is shown on our pages. Non-essential cookies, like analytics and marketing, are only set after you opt in, and you can change or withdraw your choice at any time from the banner.

9.Your rights

Under UK data protection law, you have the right to:

  • Ask what we hold on you (a "subject access request").
  • Ask us to correct anything that's wrong or out of date.
  • Ask us to delete your information ("the right to be forgotten"), subject to any legal reason we might need to keep it.
  • Ask us to restrict how we use it, in certain circumstances.
  • Object to us using it, especially for marketing, which you can opt out of at any time by unsubscribing.
  • Ask for a copy of your data in a portable format, where that applies.
  • Withdraw consent at any time, where consent is what we're relying on.
  • Complain — see Section 12 below.

To use any of these rights, contact us using the details in Section 13. We'll normally respond within a month.

10.Keeping your information secure

We use reasonable technical and organisational measures to protect your information, including secure, access-controlled third-party platforms for storage and processing (see Section 5). No system is completely risk-free, but we take this seriously and review our approach regularly.

11.Children

Our services are for adults making property decisions. We don't knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we'll delete it.

12.Changes to this policy, and how to complain

We may update this policy from time to time, for example if we change how we work or the law changes. We'll post the updated version here with a new "last updated" date at the top.

If you're not happy with how we've handled your information, you have the right to complain to the Information Commissioner's Office (ICO):

  • Website: ico.org.uk/make-a-complaint
  • Phone: 0303 123 1113

13.How to contact us

If you have a question about this policy, or want to use any of the rights in Section 9, get in touch. Full contact details are in the footer below.
